1. Our Role: Controller vs. Processor
When you visit pradocs.com or interact with us as a prospect (e.g. booking a demo, starting a trial), we act as the Data Controller for that account and contact data. When your organization is a PraDocs customer and uploads documents containing personal data of your own employees, clients, or data subjects, your organization is the Data Controller of that content and PraDocs acts as the Data Processor, processing it only on your documented instructions under our Data Processing Agreement.
2. Legal Bases for Processing
| Purpose | Legal basis (Art. 6 GDPR) |
|---|---|
| Providing the Service to a signed-up customer | Performance of a contract |
| Responding to demo requests and sales inquiries | Legitimate interests / pre-contractual steps |
| Security monitoring, fraud prevention | Legitimate interests |
| Marketing emails and non-essential cookies | Consent (withdrawable at any time) |
| Billing, tax, and statutory recordkeeping | Legal obligation |
3. Categories of Personal Data
Name, work email, phone number, job title, company details, IP address and usage logs, billing details, and — within Customer Content you choose to upload — any personal data your organization includes in its documents (which PraDocs processes strictly as instructed, per our DPA).
4. Your Rights Under GDPR
If GDPR applies to you, you have the right to:
- Access — obtain a copy of the personal data we hold about you.
- Rectification — correct inaccurate or incomplete data.
- Erasure — request deletion ("right to be forgotten"), subject to legal retention obligations.
- Restriction — limit how we process your data in certain circumstances.
- Portability — receive your data in a structured, commonly used format.
- Objection — object to processing based on legitimate interests or for direct marketing.
- Withdraw consent — at any time, without affecting the lawfulness of prior processing.
We respond to verified requests within 30 days, extendable by a further 60 days for complex requests as permitted under Article 12(3) GDPR.
5. International Data Transfers
Our primary hosting sub-processor (Hetzner Online GmbH) is based in Germany, within the EU. Where personal data is transferred to sub-processors or support functions outside the EEA/UK, we rely on the European Commission's Standard Contractual Clauses (SCCs) or the UK International Data Transfer Addendum, as reflected in our Data Processing Agreement. See our Sub-Processor List for current vendor regions.
6. Retention
Personal data is retained for the duration of your relationship with PraDocs and, after account closure, for 30–90 days for backup/audit purposes, or longer where required by law. See our Data Retention & Logging Policy.
